Security Officer

Position Summary:

Patrol all areas of the property; assist guests with museum access. Monitor Closed Circuit Televisions, perimeter alarm systems, duress alarms, and fire life safety system. Lock property entrances when required. Conduct daily physical hazard inspections. Respond to accidents, contact EMS or administer first aid/CPR as required. Assist guests/employees during emergency situations. Notify appropriate individuals in the event of accidents, attacks, or other incidents. Defuse guest/employee disturbances. Call for outside assistance if necessary. Complete incident reports to document all Security/Loss Prevention related incidents. Handle all interruptions and complaints. Resolve safety hazard situations. Escort any unwelcome persons from the property without interrupting the orderly flow of property operation. Report to scenes of vehicle accidents/thefts. Call for assistance using proper code responses. Complete a Security shift summary/daily activity report. Maintain confidentiality of all Security/Loss Prevention and property reports/documents; release information only to authorized individuals. Conduct investigations and gather evidence. Conduct interviews with relevant parties.

Essential Functions:

Museum Educator

Position Summary:

We are seeking part-time Museum Educators to oversee the daily activity in the Discovery Center gallery by providing responsible, friendly, and enthusiastic assistance to museum visitors, and to lead gallery tours for school groups. S/he will interact with visitors on the floor, facilitate hands-on gallery stations, and foster a welcoming environment for volunteers and the public. S/he will provide customer service support, be knowledgeable about museum content, and will maintain daily gallery operations and appearance.

Essential Functions:

  • Assisting visitors with Discovery Center interactive iPad experiences

  • Managing the check-out and return of iPads

  • Facilitating interactive demonstrations at gallery stations

  • Implementing inquiry-based learning and interactive educational techniques

  • Providing direction and guidance to visitors concerning other galleries

  • Working with and mentoring Discovery Center volunteers

  • Ensuring that objects and resources are handled carefully and safely

  • Maintaining gallery cleaning procedures and ensuring that supplies are replenished

  • Performing crowd control during peak times

  • Participating in staffing Family Days and other special youth programs as required

  • Leading school tours of museum galleries

  • Leading public and private tours of museum galleries for guests of all ages

  • Assisting Education Department with administrative tasks as needed

Retail and Visitor Services Representative

Position Summary:

The primary focus of the Retail and Visitor Services Representative is to provide excellent customer service while consistently meeting the museum’s projected sales goals in admissions, tours, museum memberships and retail merchandise.

The Retail and Visitor Services Representative’s responsibilities include working closely with visitors to determine their needs, answer their questions about the museum and our products, and recommend the right solutions. He/she will also promptly resolve visitor complaints and ensure maximum customer satisfaction. The successful Retail and Visitor Services Representative will stay up-to-date with product features, museum exhibits and events, and maintain the museum’s high standards in visual appearance.

Education, Skills, and Experience:

· High school diploma or equivalent is strongly preferred

· One year of work experience in retail sales and customer service preferred

· POS transaction experience

· Experience with inventory procedures

· Organizational skills

· Computer proficiency

· English language proficiency

· Excellent verbal and written communication skills

· Available to work flexible shifts

Gallery Attendant

Part-time/ non-exempt

Position Summary:

The Gallery Attendant will interact with visitors in the museum galleries by answering questions about the museum collection and providing directions. The attendant will also monitor the galleries, ensuring the collection is kept safe and that visitors follow museum policies and safety protocols.

Essential Functions:

  • Providing assistance to visitors and answering questions about the museum collection

  • Maintain crowd control during peak hours

  • Monitor safety of collection and ensuring visitors follow museum policies and safety protocols

  • Providing support to the Education Department and assistance with museum events

  • Additional tasks as required

Assistant Controller

Position Summary:

Reporting to the Controller, the Assistant Controller will be a key member of our collaborative financial team. This person will assist in daily, monthly and annual accounting tasks, share responsibility for overseeing the financial processes, controls and reporting.

Responsibilities:

  • Oversee transaction preparation and entry of A/P and A/R by finance staff in SAGE 100 accounting software, including reviews of their entries, making corrections to ensure accuracy and completeness, and verifying accurate postings.

  • Make journal entries to general ledger for inter-department charges and credits, investment accounts, and other account adjustments.

  • Assist in the month-end and year-end closing and financial reporting process including account analysis and reconciliation

  • Assist controller with the review and reconciliation of asset and liability accounts (security deposits, payroll, workers comp, prepaid expenses, etc.)

  • Provide guidance for Museum staff on use of the Chart of Accounts and accurate GL coding.

  • Oversee organization and maintenance of financial files.

  • Support most aspects of accounting management (billing, tax forms, reporting etc.)

  • Assist in the preparation of standardized internal and external financial reports

  • Prepare custom financial reports for special projects and as needed

  • Participate in preparation for the annual audit and tax returns

  • Support preparation of payroll, as may be directed, and post payroll journals.

  • Reconcile vacation and sick time accruals with payroll software.

  • Follow up with vendors about outstanding A/P checks.

  • Follow up with customers about outstanding invoices.

  • Process monthly admissions and sales reports into Excel worksheet templates (including formatting, using formulas, etc.) into daily posting batches.

  • Help in development of reports for management or regulatory bodies

  • Review the company’s accounting information to identify and resolve inaccuracies or imbalances

  • Assist with integration of point-of-sale, membership, and other information with the accounting software

  • Assist in special projects and support of colleagues as necessary

Requirements:

  • At least 5 years’ experience working in accounting.

  • Degree in accounting, finance or relevant field is preferred

  • Solid knowledge of GAAP, accounting principles and financial processes

  • Substantial hands-on experience working with mid-level or higher accounting software.

  • Experience with SAGE 100 / MAS 90 (GL, AR, AP modules) is highly desirable.

  • Experience developing customized financial reports in SAGE and Crystal Reports very beneficial.

  • Intermediate to advanced skills in Excel, including use of formulas, pivot tables, formatting functions.

  • Strong organizational skills and eye for detail.

  • Good verbal and written communication and interpersonal skills

  • A thoughtful observer, insightful analyst and problem-solver

  • Able to work independently and collaboratively, respond positively to constructive criticism.

  • Interested in learning and developing new skills

  • Prior financial experience in a non-profit organization is beneficial.

Tour Guide

Position Summary:

Tour Guides at the Petersen must learn and retain knowledge of the cars and other relevant artifacts that make up the collection and articulate the most interesting stories about those cars to the public. Tours may cover the whole museum or select portions of the museum, including the Vault. Tour groups can range from families with children up to senior groups, and can include people from different countries, different learning levels and different abilities. In addition to sharing educational content, it is important that tour guides manage, control, and entertain their tour groups. Training to be a tour guide includes studying training materials, shadowing veteran guides and observing their presentation styles, pairing up with veteran guides to give collaborative tours, and giving several practice tours to staff. Upon successful completion of the training period, a new guide can then begin leading public tours.

Essential Functions:

Leading tours of the museum, or portions of it, that last anywhere from 15 minutes to 2 hours (standard tour lengths are one hour for museum tours and 90 minutes for Vault tours).

  • Engaging and entertaining guests on tours. Tours may include up to 50 guests.

  • Researching cars and artifacts and maintaining knowledge of the collection.

  • Preparing a tour strategy that covers a broad portion of the tour’s target while fitting within time constraints.

  • Working with other guides in research and preparation.

  • Adjusting and modifying tour content as requested by their supervisor and/or the museum administration. This includes learning information about cars that may only temporarily be on display.

  • Wearing the required uniform during all tours, which includes a red Petersen polo shirt, black pants and shoes, and a nametag.

  • Attend all trainings and reading all training materials.

  • Arriving in advance of tours in order to walk through the museum and/or in advance of their first tour, making themselves aware of any changes.

  • Committing to a regular schedule while also being able to pick up additional shifts.

  • Cooperating with security and museum staff in managing groups to ensure guest safety and preservation of the collection.
